Per the Illinois Community College Board (ICCB), appropriate documentation to support midterm enrollment status should demonstrate that a student was actively participating in a course at the midpoint of the term.
Examples of appropriate documentation include, but are not limited to:
- Verification of Attendance
Physical or digital attendance records, such as sign-in sheets, rosters with handwritten notations, or use of Canvas attendance features.
- Documented Student Activity in Canvas
Canvas can show the time and date of a student’s participation in online course components.
- Roll Call Attendance Tool
Roll Call is a manual tool in Canvas that allows faculty to take attendance. Faculty can generate an attendance report from this tool, which reflects only instructor-documented attendance. It does not track online activity or participation.
- Assignment Submissions
Copies or screenshots of completed assignments, which may include timestamps (e.g., LMS submission logs).
- Communication Logs
Email or LMS messages showing academic interaction between instructor and student that demonstrate meaningful academic engagement.
- Graded Assessments
Midterm exams, quizzes, or other graded work.
Not Considered Sufficient:
- Presence on a class roster without additional evidence of participation.
- A student's login to an LMS without academic interaction.
- Non-specific verbal affirmations (e.g., “I think they were there”).
