Information Technology Travel Guidelines

These guidelines will help ensure safety, compliance and usability while traveling on college business. IT will make its best effort to support employees as needed; however, it is difficult to guarantee service during travel. As such, do not bring any Moraine Valley technology while traveling unless it is required/necessary.

 

Pre-travel checklist:

  • Make sure all software and operating systems are updated by powering on your device and connecting to a network before traveling.
  • Multifactor authentication must be used while traveling. Check with your mobile provider used for MFA to ensure service is available in the areas you are traveling. If service is not available, a loaner USB Security Key can be used for accessing systems while traveling. Please contact informationsecurity@morainevalley.edu.
  • Back up important data before traveling to prevent data loss.

 

Traveling guidelines:

  • Wi-Fi should be disabled while not in use.
  • Assets must stay in your possession or be kept in a secure location.
  • Do not plug in unknown accessories.
  • Do not connect to unsecure networks. Make sure you are using a VPN. Do not use public Wi-Fi.
  • Do not access sensitive data while traveling.
  • Do not download or transfer any data unless to a trusted source and destination.
  • Do not keep any saved passwords in your browser.

If your device is alerted for suspicious activity, it will lock remotely and be inaccessible until it is reviewed by Information Security. If the device is lost or stolen, or may have been compromised, the Help Desk should be notified immediately at (708) 608-4357 or helpdesk@morainevalley.edu and Informationsecurity@morainevalley.edu.

 

International travel requirements:

Depending on the travel destination, IT may require the use of a temporary device. Microsoft has blocked certain countries or high-risk zones and will not allow you to log in. Most countries have policies that may require you to log in to your device and give them complete access to your technology. For example, if customs or Border Control collects the laptop, it should not be used. Do not provide anyone, including customs or Border Control, with your login credentials. It is your responsibility to look up the policy on technology entering the country in which you are traveling.

Open an ITConnect ticket and include the following information:

  • Where you will be traveling
  • When you will be traveling
  • How you plan on connecting to the internet

Upon the travel end date specified:

  • IT will perform a virus scan on your device
  • Provide any reports of suspicious activity
  • Change your password upon your return
