Step 9: Save (as a draft) or Submit your request for approval.

  • Click Save, if you are not ready to submit the request for approval. This will save your request as a draft. It will not be sent to your supervisor for approval.
  • Click Submit, if you are ready to send this request for approval. Your supervisor will receive an email requesting approval.

  • Click Delete, if you would like to remove a ‘draft’ request from the system. Only ‘draft’ requests can be deleted. Once the request has been approved it cannot be deleted – it will need to be withdrawn. See instructions below.

Step 10: Click Comments, if you would like to add a comment regarding this request. Your supervisor will be able to see the comments entered in this field if they click the Comments button while viewing the request, but comments will not arrive in their notification email. You will also be able to view any comments your supervisor/approver may have entered in this field.

General Notes:

  • Hourly employees should only submit a leave request for a date in a future pay period (for which a timecard is not yet in progress). Ensure that your supervisor approves the leave request before the timecard is started. This will ensure that the leave taken populates on your timecard.

  • For hourly employees with leaves to be taken in the current pay period that were not approved in advance, simply ensure that you code the leave properly on your timecard (no additional “leave request form” is necessary). For leaves that were taken in the past that were not reported on the timecard, your supervisor should email HR.
  • Hourly employees’ leave requests should not span multiple calendar weeks. For example, if taking off the week of March 2nd and the following Monday, March 9th as well, please submit one leave request for the 5 days in the week of March 2nd and a second request for the following Monday, March 9th, rather than including all six days off in the same leave request.
  • Leave requests can only be entered for a current or future fiscal year, not for a past fiscal year. The college’s fiscal year begins on July 1.

  • Employees can only have one leave request on any given day for the same leave type. For example, if an employee already requested 4 hours of vacation on a particular day but wants to increase the request to 8 hours, they would need to first withdraw the initial request for 4 hours and then resubmit with 8 hours; otherwise, employees will receive the message below when attempting a second request for 4 more hours on the same day for the same Leave Type.
