How to schedule a meeting in Outlook or Teams

Option 1: Scheduling a virtual meeting through Outlook

  1. Open your calendar in Outlook.
  2. Select "New Meeting"
  3. From the meeting window that has opened - create a title, invite attendees, and choose a time.
  4. Select the "Teams Meeting" button from the ribbon.
  5. You will now see a Microsoft Teams meeting has been scheduled from the body of the email.
  6. Select "Send" - You're done!

 

Option 2: Scheduling a virtual meeting through the Teams app

  1. Select "Calendar" in Teams
  2. Select "New meeting"
    1. If you select the drop down you will have additional meeting options including Webinar, Town Hall, Class, Lecture, Live event.
    2. Optional: Another way to begin scheduling a meeting is by double clicking in an available time slot.

  1. A new window will open that will contain the scheduling details - Title, attendees, time, location, and meeting details.
    1. Use the "Scheduling assistant" to find a meeting time when all of the attendees available.
    2. Choose "Save".

 

  1. To immediately start a meeting, choose "Meet now".
    1. Choose "Get a link to share" from the drop down (Not shown).
    2. You will need to share the link with the attendees by one of the two options:
      1. Copying the link and sharing it with the attendees.
      2. Choose "Share via email" to automatically open in Outlook.
